Job Overview

Medicat is looking for a Revenue Operations & Billing Manager to own the day-to-day mechanics of renewals, contract administration, invoicing, and revenue reporting. You’ll keep contracts and customer account data accurate across systems, ensure timely billing and collections, and deliver clear monthly and quarterly revenue insights to leadership.

This position reports directly to the Chief Revenue Officer and works closely with stakeholders across the executive leadership team.

What You’ll Do:

  • Accounts Receivable (AR) & Collections 
    • Monitor AR aging, follow up on upcoming/past-due invoices, and drive cash collections. 
    • Support customer/vendor payment setup workflows and required remittance paperwork. 
    • Send invoices for renewals and new bookings; coordinate internal handoffs (including ticketing) to ensure bookings are fulfilled and billed properly. 
  • Contracts & Renewals 
    • Serve as the LinkSquares super user: load/maintain contracts, update key fields (ACV, renewal dates, rate increases, termination terms), and ensure contract details flow into HubSpot correctly. 
    • Proactively engage customers 2–3 months before renewal to schedule renewal/account review meetings and drive multi-year agreements. 
    • Create order forms/MSA updates, manage renewal pipeline and meet with customers to establish renewal order forms, and manage the review and redlines process prior to final approval. 
  • HubSpot Ownership & Revenue Reporting 
    • Improve customer account visibility in HubSpot (custom fields, account health scoring, Customer Success metrics) and maintain relevant deal pipelines. 
    • Produce leadership reporting (monthly revenue close support, revenue variance analysis, undelivered pipeline and bookings tracking, net retention calculations, quarterly KPI dashboards). 
    • Provide HubSpot admin support and become a super user to maintain and enforce data hygiene policies, best practices, providing ad-hoc analysis and reporting.  
  • Financial Planning & RevOps Enablement 
    • Build revenue and attrition budgets by account; support reforecasting and ongoing adjustments. 
    • Manage and maintain the Revenue recognition process, providing updates and reporting to senior leadership team to address bottlenecks and speed the bookings to revenue recognition time.
    • Deliver Sales/Marketing performance reporting (win rate, deal cycle time, deal size trends, deal source performance, etc.) and support quoting/CPQ and product library hygiene. 
  • Cross-functional support 
    • Support revenue analysis and reporting requests, contract workflows, select Accounts Payable tasks and oversight, and business office requests (e.g., VPAT/SOC/HECVAT) and other operational and administrative requests in support of the Go-To-Market and Executive leadership teams.

What You’ll Bring:

  • 3+ years in revenue operations, billing/AR, finance operations, or SaaS GTM ops. 
  • Hands-on experience with HubSpot (reporting, pipelines, data hygiene); contract management tooling (LinkSquares or similar) a strong plus. 
  • Strong Excel skills required. 
  • Comfort working with invoicing/revenue processes and systems (NetSuite or similar ERP a plus). 
  • Extremely high attention to detail. 
  • Ability to manage multiple deadlines. 
  • Clear communicator who can partner across Sales, CS, Finance, and Leadership. 
  • Tools you’ll likely touch: HubSpot, LinkSquares, Zendesk, NetSuite, CPQ
