Session Descriptions (Click Each to Expand):
8-9am
This session goes beyond the basics of Form Builder to help you create smarter, more scalable forms in MedicatOne. We’ll review the foundation of how Form Builder works, then focus on building reusable components (“building blocks”) that streamline form creation across your organization.
You’ll learn how to efficiently assemble complete forms from those components, leverage the Form Library to adapt existing forms instead of rebuilding them, and apply best practices that improve consistency, reduce duplication, and simplify ongoing maintenance. We’ll also address common FAQs and real-world use cases to help you maximize flexibility and control.
By the end of this session, participants will be able to:
- Design reusable building blocks
- Structure forms strategically to reduce duplication and maintenance
- Combine and modify building blocks to create efficient, standardized forms
- Leverage the Form Library to adapt existing forms instead of rebuilding
- Identify opportunities to optimize current forms for consistency and usability
- Troubleshoot common Form Builder challenges with greater confidence
9:30-10:30am
Join us as we review the most commonly used annual reports in MedicatOne. We’ll walk through where to find key reports, what data they include, and how they can support compliance, operational planning, and year-end review processes.
Whether you’re preparing internal summaries, regulatory reporting, or leadership updates, this session will help you better understand and utilize your reporting tools.
By the end of this session, participants will be able to:
- Identify the top annual reports available in MedicatOne
- Understand the data each report provides and how to use it
- Run and export annual reports with confidence
- Interpret report data for compliance and operational review
- Apply reporting insights to support year-end planning and decision-making
11am-12pm
Immunization compliance is a high-volume, high-stakes workflow—and it breaks down fast when campuses rely on manual document review and record chasing.
In this session, we’ll explore how Medicat’s Immunization Compliance Management (ICM) ecosystem fits together to automate verification end-to-end: from pulling records via state registry integrations for in-state students, to retrieving out-of-state records through VeriVax’s nationwide clinical network, to accelerating review of student-submitted documentation with the AI-powered ICM Agent.
By the end of this session, participants will be able to:
- Explain how Medicat’s ICM tools reduce manual workload by automating immunization verification through smart workflows and integrations.
- Differentiate the major ICM tools and when to use each of them, including State Registry Integrations, VeriVax, and ICM Agent.
- Understand the end-to-end “automated compliance” workflow that Medicat offers and be able to decide which tools make the most sense for your campus.
12:30-1:30pm
Upgrading to MedicatOne is a high-impact, high-visibility decision—and it can feel overwhelming. In this session, we’ll walk through what upgrading to MedicatOne (M1) actually looks like from start to finish: the planning, training, optimization, and go-live.
You’ll get a practical look at the “nuts and bolts” of the upgrade process: what to expect, how long it takes, and how to set your team up for success. You’ll also hear directly from clinic leaders who’ve already made the move to M1. You’ll get an honest look at what the transition was really like, the features that made the biggest impact, and the lessons they learned throughout the process.
By the end of this session, participants will be able to:
- Understand the end-to-end M1 upgrade process, including key milestones, preparation steps, and support resources available along the way.
- Identify practical strategies to secure internal buy-in and keep momentum strong for this transition.
- Walk away with real-world insights to help you evaluate your own upgrade, confidently and strategically.
2-3pm
This will be a roundtable conversation exploring how colleges and universities can break down silos between physical and mental health services to support the whole student. Participants will share models, challenges, and practical strategies for building truly integrated systems of care.
By the end of this session, participants will be able to:
- Articulate how a whole-student approach improves health, retention, and academic success.
- Identify common structural and cultural barriers that prevent effective coordination between physical health, counseling, and other student support services.
- Describe practical models of collaboration between medical, counseling, wellness, and student affairs teams.
- Outline actionable steps their institution can take to move toward a more holistic, integrated care framework.
